Collaborative Solutions ("we", "us") is a UK-based AI consultancy.

03What we collect
When you submit the contact form we collect: your name, organisation, email address, the service and engagement shape you are interested in, your stage, company size, timeline, and the message you write to us.
When you visit the site we record analytics (page paths, anonymised IP, referrer) via Vercel Web Analytics. We do not use third-party advertising trackers, and we do not run a session-replay tool.

To respond to your enquiry and assess whether we are a good fit for the work.
To improve the site (aggregate analytics only, never personally identified).
05Where it goes
Form submissions are delivered to our email inbox at enquiries@collaborative.solutions. Resend delivers that email on our behalf; the inbox itself is hosted on Google Workspace. Nothing is written to a customer-relationship system — the email we receive is the only copy we hold.
You also receive a copy of your own submission by email, so you have a record of what you sent.
If a delivery fails, we record only your name, email address and the time in our hosting logs so we can follow up. The content of your message is never logged.
Submissions are visible only to the directors of Collaborative Solutions Consultancy Ltd and to anyone we explicitly bring into a conversation with you.
We never sell your data, and we do not add you to marketing lists without your explicit opt-in.
06How we use AI
We use Anthropic’s Claude across our business, including when reading, summarising and drafting replies to enquiries. This is covered by a Data Processing Agreement with Anthropic, under which Anthropic acts as our processor.
Your enquiry is used only to respond to you. It is not used to train any model — including Anthropic’s, under their commercial terms — and we do not analyse it for any other purpose or reuse it elsewhere.
A person makes every decision about your enquiry. We do not use solely automated decision-making that produces legal or similarly significant effects, as defined by Article 22 of the UK GDPR.
You can ask us to delete your enquiry at any time by emailing enquiries@collaborative.solutions.
07How long we keep it
Active enquiries and engaged clients: for the duration of our working relationship plus 6 years (UK statutory record-keeping for contracts).
Cold or unconverted enquiries: the email is deleted after 24 months of no contact, unless you ask us to delete it sooner.
Because submissions arrive as email and are not copied into a separate system, deleting the email deletes the record.
08Your rights
Under UK GDPR you can ask us to: see what we hold about you, correct it, delete it, restrict how we use it, or object to processing. Email enquiries@collaborative.solutions and we will respond within 30 days.
You can also complain to the ICO (ico.org.uk) if you’re not happy with how we handle your data.
09Sub-processors
We use a small number of third parties to run the business. Each is GDPR-compliant and bound by a Data Processing Agreement or equivalent contractual safeguards.
Anthropic (Claude — used across our work, including handling enquiries, under a Data Processing Agreement), Resend (delivery of contact-form email), Vercel (hosting, first-party analytics, and Speed Insights), Google Workspace (email and documents), and Google Fonts (webfont delivery).
